QR kiosk on a shared tablet

The QR kiosk is a clock-in screen designed for a shared tablet at the entrance of your warehouse, shop or office. It shows a large clock and the camera always active: each person holds up their personal QR code, the platform records the clock-in or clock-out, and the screen confirms it on the spot. Nobody types anything, and no employee needs their own phone or computer.

What you need

  • A tablet (or any device with a browser and camera), plugged in and with the screen set to never turn off.
  • Your company's kiosk token: a unique key that identifies the device as an authorised kiosk of your company.
  • An internet connection. The kiosk page is served over HTTPS, which browsers require in order to use the camera.

1. Get your company's token

The token is created automatically when the company is registered; you just have to copy it:

  1. Log in to the dashboard as a company administrator (the only person who can view and regenerate the token).
  2. Go to Kiosk token (side menu, "Administration" section).
  3. There you'll see the current token and the Open kiosk screen button, which opens the clock-in screen with the token already included in the link.

Treat the token like a password: anyone who has it can open a kiosk screen for your company. Don't publish it or send it through insecure channels.

2. Set up the tablet

  1. On the tablet, open the browser and visit the Open kiosk screen link (or type /kiosko?token=... with the copied token). You only need to do this once: the token is stored on the device itself and disappears from the address bar.
  2. Grant the camera permission when the browser asks. The kiosk uses the rear camera if the device has more than one.
  3. You'll see the clock, the date and the camera viewfinder with the scan line. The kiosk is ready.

If the screen says "This device is not configured", you opened /kiosko without a token: go back in using the link from step 1.

The kiosk screen gives no access to any data: it shows no employees, entries or reports. It only scans codes and confirms each entry, so it can sit in plain sight in a walk-through area.

3. How each person clocks in

Each employee has a personal, non-transferable QR code, generated automatically when their user is created (including users brought in with the importer).

  1. Hold your QR code up to the tablet's camera.
  2. The screen confirms the entry: "Ana García — Clocked in at 9:02:15".
  3. A few seconds later the kiosk starts scanning again, ready for the next person.

There's no choosing between clock-in or clock-out: the type toggles automatically, just like on the web dashboard — after a clock-in, the next entry is a clock-out, and vice versa. If the day is registered as remote work, the entry is tagged as remote, exactly the same as with the other clock-in methods.

Each entry is stored with the qr method, the time in UTC (converted to your company's time zone for display), and the kiosk's IP and device.

Regenerating the token

If you suspect the token has leaked, or you retire a device that had it stored:

  1. Go to Kiosk token and press Regenerate token.
  2. Confirm. The previous token is invalidated instantly.

When you regenerate, all previously configured tablets stop working and will show "Invalid kiosk token". Open the Open kiosk screen link with the new token again on each one.

If something doesn't work

The screen says… What it means
"Code not recognised." The scanned QR doesn't match any employee. Check that it's the personal AccessTime QR and not some other code.
"Invalid kiosk token." The stored token is no longer valid (it was probably regenerated). Reconfigure the tablet with the new link.
"Camera permission denied." Enable the camera permission for the browser in the device settings.
"This browser doesn't support the camera…" Use a modern browser and make sure you open the page over HTTPS.
"The entry could not be recorded." A one-off error; it retries when you scan again. If it persists for one person, their user may be blocked for exceeding the free plan's limit.

Kiosk entries end up in the same record as those from the web dashboard and the mobile app, and are consolidated every night into each person's workday.
