Terms of service

1. The service

AccessTime is a time-tracking and human resources platform for companies: working-time records, absences and holidays, approvals, reports and related features. By creating a company account you accept these terms on behalf of that company.

2. Accounts and access responsibility

  • The company account is administered by whoever creates it (administrator role), who can invite more people with different roles.
  • You are responsible for keeping your credentials confidential. We recommend enabling two-step verification, available for free.
  • Using the service for unlawful purposes or attempting to access other companies' data is not permitted.

3. Plans and payments

  • Free plan: up to 10 active people per company, with all features, and no time limit.
  • Pro plan: an annual subscription per active employee, with the first year free (a card is requested for the renewal). The number of licences adjusts automatically each month based on the active workforce.
  • Prices are shown exclusive of VAT; the applicable tax is calculated at checkout based on your country. Payments and invoices are handled by Stripe.
  • If you exceed 10 people without an active subscription, the most recent people above the limit switch to read-only: no data is deleted.

4. Your company's data

  • Your company is the controller of its employees' data; AccessTime acts as the data processor (see the privacy policy).
  • You can export your data (Excel reports, listings) at any time. After cancellation, we will keep the working-time record for as long as the law requires and delete the rest within a reasonable period.

5. Availability and support

  • We work to keep the service continuously available, but we do not guarantee 100% availability; there may be maintenance windows.
  • Support is provided by chat and email during business hours, in the platform's six languages.

6. Limitation of liability

AccessTime is a tool for keeping working-time records; the legal obligation to record working time and safeguard the record rests with the employer company. To the extent permitted by law, AccessTime's total liability is limited to the amount paid for the service in the 12 months preceding the event giving rise to it.

7. Cancellation

You can cancel the Pro subscription at any time from the billing portal; when the paid period ends, the account returns to the Free plan. You can also request full deletion of the company account through the support channel.

8. Changes to these terms

If we make substantial changes to these terms, we will announce them on the platform with reasonable notice. Continued use of the service after the notice implies acceptance of the new terms.
